KIN PROTOCOL FOR VISITS FROM DISTRICT OR NATIONAL OFFICERS

When you request District or National Officers to be in attendance at your club meeting or function, please extend the following courtesies:

  1. Send written invitations well in advance. Give details of all pertinent information, i.e. date and time, agenda, place, and dress code.
  2. An invitation should also be sent to your Zone Officers. It is District policy to travel in pairs, so you should be prepared for two persons to attend.
  3. They should be recognized and introduced using their proper titles.
  4. If they are participating directly in your program, please be sure to notify them in advance as to their duties i.e. toasts or replies, etc.
  5. When National, District, or Zone Officers (including Zone Foundation Rep.) are invited to attend in an official capacity, your club is expected to absorb the cost of their meals.
  6. Officers travelling extensive distances may require overnight accommodation, which your club would be responsible for. (This can be in a member's home if available.)
  7. The District Executive committee will handle visitations on a priority basis, because of the time and expense involved. Priorities will include Zone Conferences and special events. Consideration will then be given to other invitations and/or alternate representatives will be sought.
  8. Notification of special club events should be sent to:
    • District Governors
    • Deputy Governors
    • Club Presidents in the Zone and/or in close vicinity

Although invitations to those events are at your clubs discretion.
